How to Document Your Move Out and Protect Your Deposit

The best defense against unfair deposit deductions is thorough documentation. Here's exactly what to photograph, record, and save before you hand over those keys.

Why Documentation Matters

Without evidence, deposit disputes become "your word vs. theirs." Dated photos and videos prove the condition when you left — making it much harder for landlords to blame you for pre-existing damage or claim excessive cleaning is needed.

The 4-Step Documentation Process

1. Take Photos

Wide shots of every room plus close-ups of walls, floors, appliances, and any areas of concern.

2. Record Video

A continuous walkthrough video is harder to dispute than individual photos. Narrate as you go.

3. Email to Yourself

Email photos to yourself immediately. This creates an unalterable timestamp from your email provider.

4. Share with Landlord

Send copies to your landlord. This puts them on notice and prevents claims that damage happened after you left.

Video Walkthrough Tips

  • Start at the front door and work through each room systematically.
  • State the date and time at the beginning of the video.
  • Open all cabinets, closets, and appliances on camera.
  • Move slowly — blurry footage isn't useful as evidence.
  • Narrate what you're showing: "This is the kitchen, showing the inside of the oven which is clean..."
  • End by showing the keys you're about to turn in.

Creating an Unalterable Timestamp

Your phone automatically timestamps photos, but this can be disputed. For bulletproof evidence:

  1. 1Take all photos and video on the same day you turn in keys.
  2. 2Immediately email them to yourself (Gmail, Outlook, etc. timestamps are server-side).
  3. 3CC your landlord on the email so they can't claim they didn't know the condition.
  4. 4Save the email. Don't delete it until your deposit is returned in full.

Request a Move-Out Walkthrough

Many states give you the right to a move-out inspection with your landlord. This is valuable because:

  • • You can address issues before the final inspection
  • • Both parties agree on the condition in real-time
  • • It's harder for landlords to "discover" damage later
  • • Get any agreements in writing or on video
